Privacy Policy

1. Overview
Dojo Mojo ("we," "us," or "our") provides a cloud-based studio management platform for martial arts and fitness studios ("the Service"). This Privacy Policy explains how we collect, use, and protect information when you use our website at dojomojopro.com and any subdomain thereof.
This policy applies to:
- Studio Owners / Subscribers — businesses and individuals who create a Dojo Mojo account and manage a studio.
- Studio Contacts — students, family members, and staff whose information is entered into the platform by a Studio Owner.
Important: Dojo Mojo acts as a data processor for Studio Contacts. The Studio Owner is responsible for ensuring they have proper authorization to enter and manage the personal information of their students, families, and staff in our platform.
3. How We Use Your Information
We use the information we collect to:
- Provision, operate, and maintain your studio account
- Process payments and manage subscriptions
- Send transactional emails (account confirmation, trial expiry, billing receipts)
- Respond to support requests and feedback
- Detect and prevent fraud, abuse, and security incidents
- Comply with legal obligations
- Improve and develop the Service (using aggregated, de-identified data only)
We do not sell your personal information or that of your students to third parties. We do not use student or family data for advertising purposes.
4. How We Share Information
We share information only in the following circumstances:
4.1 Service Providers
We work with trusted third-party vendors who process data on our behalf:
- Stripe, Inc. — payment processing and subscription management. Stripe's privacy policy is available at stripe.com/privacy.
- Email delivery provider — for sending transactional emails (account confirmations, billing notifications).
- Infrastructure providers — cloud hosting and server infrastructure used to run the platform.
These providers are contractually obligated to protect your data and may only use it to provide services to us.
4.2 Legal Requirements
We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Dojo Mojo, our users, or the public.
4.3 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a materially different privacy policy.
5. Student and Minor Data
Dojo Mojo is a business-to-business platform. Studio Owners enter and manage student records, which may include information about minors. We take the following steps to protect this data:
- Student data is accessible only to the Studio Owner and authorized staff users of that studio.
- We do not use student data for any purpose other than providing the Service to the Studio Owner.
- We do not knowingly collect personal information directly from children under 13 years of age. Student records are entered by Studio Owners, who are responsible for obtaining any necessary parental consent under applicable law (including COPPA).
- Studio Owners may delete student records at any time from within the platform.

6. Cookies and Tracking
We use a limited number of cookies that are necessary to operate the Service:
- Session cookies: Used for authentication. These expire when you sign out or your session ends.
- Preference cookies: Used to remember your selected color theme and studio settings across sessions.
- Subscription status cookies: Used to enforce access controls when a subscription is inactive.
We do not use advertising cookies, tracking pixels, or third-party analytics that profile your behavior across other websites.
7. Data Retention
We retain your account and studio data for as long as your subscription is active. After account termination:
- Your studio data (students, schedules, invoices, etc.) is retained for 30 days to allow for recovery, then permanently deleted.
- Billing records may be retained for up to 7 years as required by applicable tax and accounting laws.
- Anonymized or aggregated usage data may be retained indefinitely.

8. Security
We implement reasonable technical and organizational measures to protect your information, including:
- HTTPS encryption for all data in transit
- Isolated database environments per studio tenant
- Hashed and salted password storage
- Access controls limiting which staff can access which studio data
No method of transmission or storage is 100% secure. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.
9. California Privacy Rights (CCPA)
If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):
- Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you.
- Right to Delete: Request deletion of your personal information, subject to certain exceptions.
- Right to Opt Out: We do not sell personal information, so there is no opt-out required.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by displaying a prominent notice in your dashboard at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes your acceptance of the updated policy.
